PROM 2024 – short-term academic exchange

The PROM Program – Short-Term Academic Exchange enables students and university staff to acquire knowledge and skills in an international environment, which participants can utilize at various stages of their professional careers. It also facilitates Polish universities and research institutions in establishing and strengthening cooperation with foreign institutions.

PROM provides funding for short-term mobility aimed at enhancing the competencies of students, PhD candidates, and academic staff, including:

  • Active participation in an international conference (presenting a paper, including participation in a poster session),
  • Collecting materials for a doctoral dissertation or a scientific article,
  • Attending a summer or winter school,
  • Conducting measurements using unique equipment, testing research apparatus, or specialized artistic instruments,
  • Participating in short-term educational programs, including intensive courses as part of the education process, workshops, professional or industrial internships, and study visits (including those at enterprises),
  • Conducting archival or library queries,
  • Teaching academic courses,
  • Contributing to the preparation of an international grant application.

Scholarship-based travel and visits will last between 5 and 30 days. All activities can be carried out in on-site, remote, or hybrid formats.

The PROM Program – Short-Term Academic Exchange is funded by the European Union under the project "Short-Term Academic Exchange as a Means to Improve the Quality of Education in Higher Education and Research Institutions", project number FERS.01.05-IP.08-0218/23 (FERS Projects).

BEFORE THE MOBILITY: complete these documents and submit them to your mobility coordinator at the International Mobility Office:

STEP 01

Get the invitation / confirmation from the host institution

STEP 02

Complete and sign in paper the Competency Card – PART A – (Annex 2 to Regulations), also get the approval by the Head of Doctoral School (PhD Students) or the Vice Dean at your faculty (student). Please check out the Sample criteria for learning outcomes – to the Competency Card

STEP 03

Fill in the Project NAWA-PROM Participan’s form, according to the INSTRUCTIONS, download the PDF file, provide it to your mobility coordinator with with those (hand or certified electronic signature) documents:

STEP 04

Fill in the additional documents before getting the Participant’s financial agreement (template here):

  • Bank details form,
  • SUT Application for international mobiity (student/PhD student), get the approval by the Head of Doctoral School (PhD Student) or the PROM Project’s Manager (student) at the International Mobility Office,
  • IMPORTANT – if you need to pay a conference fee / summer school fee -> please contact the International Mobility Office for more information,
  • IMPORTANT – according to the program requirements, each Participant is obliged to have private insurance for the duration of travelling and staying abroad as part of the PROM mobility. The insurance should cover at least: medical costs, the consequences of accidents and civil liability.

STEP 5

Sign the Project Participant Financial Agreement prepared individually for you (by hand or with an electronic signature), template here.

STEP 6

Receive funding into your bank account (bank transfer is in PLN).

AFTER THE MOBILITY: obtain or complete these documents and submit them to your mobility coordinator at the International Mobility Office:

STEP 1

Certificate of attendance / participation it the activity – you can use the sample certificate or provide us the one you got from the host institution,

STEP 2

Complete and sign in paper the Competency Card – PART B – (Annex 2 to Regulations), also get the approval by the Head of Doctoral School (PhD Students) or the Vice Dean at your faculty (student).

STEP 3

Complete and sign in paper the SUT Report after the international mobility and Financial Statement – (will be provided soon).

STEP 4

Receive the Certificate of Participation in the PROM-NAWA Programme 2024 from Silesian University of Technology.

The amount of funding consists of:

  1. Participant’s scholarship,
  2. lump sum for accommodation and subsistence costs,
  3. lump sum for travel costs.

We would like to inform you that:

The term “employee” refers to employees of Polish and foreign higher education and research institutions, namely:

− academic teachers, − employees who are not academic teachers, − research and research-technical employees, − other employees of research and development institutions,

who do not hold a scientific degree. These participants are entitled to a daily scholarship rate of 125 PLN.

The term “a person holding at least a doctoral degree or an equivalent degree obtained abroad” refers to employees of Polish and foreign higher education and research institutions, namely:

− academic teachers, − employees who are not academic teachers, − research and research-technical employees, − other employees of research and development institutions,

who hold at least a doctoral degree. These participants are entitled to a daily scholarship rate of 250 PLN.

PROM at Silesian University of Technology

Funding amount: 1,938,220.00 PLN
Start date: 1st October 2024
End date: 30th September 2025

Mobilities will take place starting from January 2025.

Priority for departures will be given to individuals who expressed interest in participating in the PROM program during the application process through the Silesian University of Technology.
