  1. When is the deadline for submitting applications?

Applications are accepted on a continuous basis, except for activities 1 and 2 specified in the Ordinance No. 189/2022. For activity with a funding in the form of a cost reimbursement related to the previous year (activity no. 9) - applications must be submitted by January 15 of the following year.

2. What if a given activity involves the whole team and not a single person?

Support under this programme is also addressed to members of teams from the Silesian University of Technology. In such a situation, the amount allocated for support in the proposed activity is divided according to the data indicated in the application (Annex No. 1 to the Ordinance No. 189/2022) by the applicant.

  1. When is the payment made?

The funds are paid out within 30 days from the date of granting the support by the Rector - in the case of subsidy applications in the form of an allowance (for an employee) and a civil-law contract (for a student or a doctoral student). In the case of co-financing in the form of subsidy increase, the funds are transferred to the units after calculating the subsidy for a given year.

  1. Can I submit an application for activity No. 14 (organization of an international conference at the Silesian University of Technology) before the conference?

The application must indicate the number of foreign participants who took part in the conference. This information determines the amount of financing in the activity No. 14, in accordance with the content of the Ordinance No. 189/2022. Verification of the number of participants is therefore possible after the conference, therefore the application should be submitted after the event.

NOTE - only conferences registered at the Research Office are eligible for funding!

  1. Who confirms a given activity on the application?

In the case of an employee confirming the activity, the immediate supervisor, in the case of a doctoral student - the head of the relevant unit, and in the case of a student - deputy dean for education / deputy director for education.

In the case of a subsidy for a unit the following signatures are required in the application:

  • signature of the head of the unit (with the amount requested in the application)
  • the applicant's signature

The Rector is confirming the activity.

  1. What are the requirements for applying for activity no. 20 - Running a PBL project with a foreign university

PBL projects with the involvement of foreign universities, registered at the Silesian University of Technology and implemented on the basis of a joint student project agreement concluded no later than one month after the start of the project by students from the Silesian University of Technology, are eligible for financing .

In order to start the procedure of signing an agreement for the implementation of a joint student project, please send the following documents to the International Relations Office:

After the end of the project, you can apply for funding for project supervisors under the pro-quality programme for increasing the level of internationalisation (Ordinance No. 189/2022), related to the activity No. 20 (running a PBL project with a foreign university). Applications should be submitted to the International Relations Office along with a photocopy / scan of the educational implementation report after the completion of the project.

  1. Am I entitled to submit several separate applications for running websites (activity 9), if I simultaneously maintain several separate websites in English?

Yes, in such a situation, the applicant can separately apply for funding for each website in English.

  1. What conditions must be met to be able to apply for funds under activity 9 - Running the website of the unit, POB (Priority Research Area) or administrative unit in English.

Pursuant to the Ordinance No. 189/2022 of the Rector of the Silesian University of Technology of December 21, 2022, under activity No. 9,  the website should be updated throughout the calendar year.

The addressees of support under activity No. 9 are basic units / university-wide units. The granted amount in the form of an increase in subsidy is allocated by the unit to the reimbursement of the remuneration costs of employees / doctoral students / students up to the amount of PLN 4,000.00 gross per unit website / calendar year.

Detailed information on applying under activity 9:

  1. The head of the basic organizational unit launches the procedure of granting a salary supplement for employees involved in creating and updating the English version of the unit's website or - in the case of students / doctoral students - a civil law contract each time before the employed person starts the activity (source of financing: departmental subsidy) .
  2. In the next step, the head of the basic organizational unit submits an application to the International Relations Office for funding under the activity No. 9) related to the development of internationalization (appendix No. 2, the Ordinance No. 189/2022) with the documentation of the costs incurred by the unit (e.g. a copy of the decision on granting the allowance or a copy of the civil law contract for the person involved in running the website).
  3. After receiving a written, positive decision of the Rector to grant funding in the form of an increase in the subsidy for the unit, the controlling officer at the faculty prepares a letter to the Bursar's Office for reclassification of the costs incurred from it's subsidy to the subsidy of the IDUB project. In the reclassification letter, individuals request reimbursement of the gross amount (which appears in the application) + add all derivatives, so the total amount of reimbursement: gross amount from civil contract or from salary supplement + derivatives.

Pursuant to the provisions of the Ordinance No. 189/2022, you can apply for funding for running a website in English of a unit, POB or administrative unit, influencing the development of internationalisation with current updating of content throughout the calendar year.

In the Organisational Regulations of the Silesian University of Technology (§ 3), the unit is defined as:

1) basic unit - it shall be understood as a faculty or institute,

2) internal unit - it should be understood as internal units of a faculty or institute,

3) other units - this shall be understood as university-wide and service organisational units.

An administrative unit, on the other hand, should be understood as: a centre, department, office, section, team, inspectorate, independent work station.

The pages to be maintained must therefore qualify under the above-mentioned categories, and the Ordinance also restricts the pages to those which have an impact on the development of internationalisation.  For example, project pages or study pages do not qualify.

10. What conditions must be met in order to apply for funding under Activity 7 - Supervising of a doctoral student from abroad?

Applying for this activity is possible at the earliest after 6 months from the beginning of supervising a student in a given academic year. For example, if a doctoral student commenced his/her doctoral studies on 1 October, the doctoral supervisor is entitled to apply for funding from 1 April at the earliest after six months of supervising the student. The financing is granted to the supervisor of a given doctoral student for no longer than four years. The application should be submitted separately for each year of supervising a doctoral student. 

  1. Does the supervision end at the moment of the doctoral student's defence or at the moment of the submission of the thesis (concerns activity no. 7)?

The supervision of a doctoral student ends at the moment of the defence.

12) Under activity 7, can an assistant supervisor submit an application independently of the main supervisor?

Only one application per one doctoral student can be submitted (financing is granted to a supervisor for each year of supervising, not longer than for 4 years).  It is possible to divide the amount between supervisors in one application.

  1. How does the application look like within the framework of activity no. 1 (providing education for foreign students studying full-time) and no. 2 (providing education for foreign students within the framework of international exchange lasting at least 3 months)?

In accordance with the provisions of § 2, paragraph 2 of the Ordinance No. 189/2022, for activities 1 and 2, funding in the form of subsidy increase is calculated automatically by the Controlling Office. Therefore, no application is made for the aforementioned activities.
