Cotutelle contract preparation and signing process.


Step 1: Interest and preliminary arrangements
The doctoral student expresses interest in the Cotutelle program. The doctoral student and his or her supervisor agree on potential terms and conditions, select a foreign university, and contact the foreign supervisor.


Step 2: Admission to both PhD
The doctoral student goes through the admission process at the foreign university. Once the doctoral student is accepted into both doctoral school programs, the Cotutelle contract preparation process begins.


Step 3: Consultation and agreement setting
Promoters from both universities meet (in person or online) to discuss the terms of the doctoral student's academic supervision. They determine, among other things:
- the language of the dissertation and the requirement of a Polish abstract (if the dissertation is written in a foreign language).
- the schedule of the doctoral student's stay at both universities.
- the place and form of the defense (stationary or online) and the sharing of the committee's travel expenses.
- requirements for educational programs and doctoral examinations at both universities.


Step 4: Preparation of the draft agreement
Based on the agreements, a draft Cotutelle contract is prepared. The contract is prepared on the basis of a model, which is adapted to the regulations of both universities.If necessary, the document is translated into the required languages.


Step 5: Verification of the draft agreement
The draft agreement is checked by the legal, administrative departments of both universities to ensure that the document complies with the regulations and laws of both countries.If necessary, modifications are made so that all terms and conditions are accepted by both parties.


Step 6: Signing of the agreement
Once the draft agreement is approved by both universities, it is signed by the doctoral student, supervisors and authorized persons from the home and partner universities.The agreement is prepared in English. Each party (home university, foreign university) and the doctoral student receive a signed copy of the Cotutelle agreement.


Step 7: Start of the Cotutelle program
The doctoral student begins his or her studies according to the agreed schedule and under the supervision of the two supervisors, pursuing the curriculum at both universities.
